414350 Clerk II SEMS Job Title: Clerk II SEMS Wage/Hour Status: Hourly, Non-Exempt Reports to: Principal/Assistant Superintendent Special Education Pay Grade: 304 Date Revised: October 17, 2013 Dept/School: Assigned Campuses/Central Office Primary Purpose Updates, verifies, and maintains Special Education information and records. Qualifications Education/Certification High school diploma or GED certificate Special Knowledge/Skills • Passing scores on District’s clerical tests • Excellent organization, communication, public relations, and interpersonal skills • Knowledge of computers and software applications Experience Two years related experience MAJOR RESPONSIBILITIES AND DUTIES 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. 11. 12. 13. 14. 15. 16. Receives and logs in Special Education referrals for assigned campuses. Processes, maintains, and files eligibility folders for assigned campuses. Completes and updates forms and mails to data entry. Assists with PBMAS data compilation. Assists Campus Attendance Clerks by ensuring PEIMS data is reported for inputting. Assists Diagnostician by inputting data into the Special Education Atom. Processes requests from other Special Education offices and districts, and distributes appropriate school records to school personnel. Changes and modifies data currently active in the computer system at the Special Services Center for assigned campuses. Ensures special education records are requested and received for special education students transferring to the District. Sends forms to be completed by physicians’ offices for assisting diagnosticians to complete eligibility reports. Responds to telephone requests for information from eligibility folders for persons who are entitled to access information. Assists office clerical staff by providing pertinent information and answering telephone calls. Maintains list of students recommended for and requiring ESY and transportation. Prepares appropriate folders for microfilming, or to be archived. Reorganizes transfer folders from feeder schools to middle and high schools. Types and submits transportation data to the Transportation office. Physical and Mental Job Requirements Mental Demands/Physical Demands/Environmental Factors Works with frequent interruptions; maintains emotional control under stress; occasional prolonged and irregular hours; repetitive hand motions, prolonged use of computer.
