Conmutador: (477) 710-7000 http://www.poliforumleon.com 9 MANUAL DEL EXPOSITOR 2016 Sección: Reglamento Operativo Para Expositores REGLAMENTO OPERATIVO PARA EXPOSITORES OPERATING REGULATIONS FOR EXHIBITORS El presente REGLAMENTO establece las normas a las que el EXPOSITOR se OBLIGA a cumplir durante la vigencia del evento, desde el montaje hasta el desmontaje de sus decoraciones y muestras. Set forth herein are the rules that EXHIBITORS are OBLIGATED to observe throughout the duration of the event, as from the set-up and up to the dismounting of decorations and samples. En dicho documento se incluye la normatividad de seguridad y protección civil del Poliforum León This document also includes the security and civil protection standards of Poliforum León ADMINISTRACIÓN 1. El Organizador de “EXPOMAQ 2016” es la Asociación Mexicana de Distribuidores de Maquinaria, A.C. (AMDM), quién ha designado la Dirección Técnica del evento al C.P. Enrique Aguilar Campos,Trade Show Manager. 2. Solamente los expositores autorizados por la AMDM podrán tener acceso a ocupar su stand y/o descargar sus muestras. 3. La AMDM, a través de su Dirección Técnica, proporcionará en exclusiva el Servicio Especializado de Manejo de Muestras Pesadas de conformidad con el itinerario de montaje y desmontaje programado. ADMINISTRATION 10 1. The Organizer of “EXPOMAQ 2016” is the Asociación Mexicana de Distribuidores de Maquinaria,A.C. (AMDM), who has entrusted the Technical Direction of this event to C.P. Enrique Aguilar Campos, Trade Show Manager. 2. Only exhibitors authorized by AMDM shall have access to the venue to occupy their booths and/or unload their samples. 3. AMDM’s Technical Direction shall be the exclusive provider of Specialized Heavy Sample Handling Services, in accordance with the programmed set-up and dismounting MANUAL DEL EXPOSITOR 2016 Sección: Reglamento Operativo Para Expositores INFORMACIÓN TÉCNICA PRELIMINAR 4. 5. Se llenarán en línea las Formas 8 y 13 con toda la información de las muestras (marca, modelo, dimensiones, pesos, tipo de base o agarre); tipo de transporte (low-boy, plataforma, caja, etc.); requerimiento de consumo eléctrico; solicitud de maniobras especiales; número de piezas de que consta cada máquina; tipo de embalaje y si requiere equipo de montacargas o grúa para su maniobra; plano a escala con la ubicación de los equipos dentro de su(s) stand(s), etc. En caso de no contar con la información técnica el 31 de enero de 2016, la Dirección Técnica no podrá incluir al expositor dentro del itinerario normal de montaje y desmontaje. En este caso, una vez que se reciba la información tardía, se tendrá que considerar el servicio del montaje y desmontaje como especial, obligándose el expositor a cubrir por anticipado todos los gastos en que se tenga que incurrir por concepto de remoción y reinstalación de alfombra, mamparas, instalaciones eléctricas, señalamientos, etc. PRELIMINARY TECHNICAL DATA 4. In this case, once this information is received, set-up and dismounting services shall be deemed as special, thereby obligating the exhibitor to pay additional required expenses in advance, such as removal and reinstallation of carpets, partition walls, electrical installations, signs, etc. SERVICIO DE MONTACARGAS Y GRÚA Todo servicio fuera de la descarga, colocación en stand y carga se considera como servicio adicional, como por ejemplo: desentarimar, entarimar, desembalar, embalar, ensamblar, desensamblar, etc. Este servicio se cobrara de acuerdo a la siguiente tarifa: • • Montacargas US $50.00 + IVA por 30 minutos Grúa US $75.00 + IVA por 30 minutos SERVICE FORKLIFT AND CRANE Any service outside the unloading, loading and booth placement is seen as an additional service, like: unpack, pack, assemble, disassemble, etc. The payment of this service is according to the following tariff: • • 11 ForkliftUS $50.00 + TAX per 30 minutes Crane US $75.00 + TAX per 30 minutes MANUAL DEL EXPOSITOR 2016 Sección: Reglamento Operativo Para Expositores 6. NOTA IMPORTANTE: Si por alguna razón técnica de maniobras especiales para expositores retrasados, se llegara a afectar a otros expositores ya instalados y estos últimos no estuvieran de acuerdo en mover sus equipos, el Comité Organizador no será responsable, bajo circunstancia alguna, de que no se puedan colocar las muestras del expositor que no haya entregado su información técnica a tiempo. 7. Con la información técnica completa, la Dirección Técnica analizará y determinará el programa de montaje y desmontaje, indicando a cada expositor el día, la hora y el tiempo de cada maniobra. 8. NOTA IMPORTANTE: El tiempo programado para cada expositor se determina con base en la información técnica “preliminar” que cada expositor envía. Si el día del evento, el expositor trae otra máquina diferente en peso, cantidad, tipo de agarre, o bien, si el expositor no indica con anticipación que requiere equipo para desembalar y/o re-embalar, el expositor estará obligado a cubrir el costo por el tiempo extra que resulte. 9. El costo de las maniobras extraordinarias se pagará directamente a la AMDM. Aceptamos pago con tarjeta de credito Visa y Master Card. 12 6. IMPORTANT NOTE: If, for any technical reason, delayed exhibitors require special maneuvering services affecting other exhibitors that are already installed, and the latter do not agree to move their equipment, the Organizing Committee shall not be liable under any circumstances whatsoever, for not being able to set-up the samples of exhibitors who failed to submit their technical data on time. 7. Having received the complete technical data, the Technical Direction shall analyze and prepare the set-up and dismounting schedule, notifying all exhibitors of the date, hour and time for each maneuver. 8. IMPORTANT NOTE: The amount of time allotted to each exhibitor is determined on the basis of “preliminary” technical data sent by each exhibitor. If, on the day of the event, exhibitors bring machines that are different in weight, amount or grip type, or if exhibitors fail to notify in advance of unpacking or re-packaging equipment requirements, such exhibitors shall be obligated to pay for any resulting overtime. 9. The cost of regular maneuvering shall be paid directly to AMDM. Payment with credit card Visa and Master Card only. MANUAL DEL EXPOSITOR 2016 Sección: Reglamento Operativo Para Expositores MONTAJE DE EQUIPO PESADO Y DECORACIONES Del 8 al 11 de abril de 2016 de las 8:00 a las 18:00 hrs. 10. El transporte del expositor deberá presentarse en el recinto una hora antes de su horario programado y deberá estacionarse en el lugar que el personal de seguridad de la Dirección Técnica le indique. HEAVY EQUIPMENT AND DECORATION SET-UP 11. Si el transporte del expositor no se encuentra en el recinto a la hora programada para su montaje, dicho expositor perderá su turno y será atendido hasta que haya un espacio libre, o bien, al final del programa. En este caso, también aplicará lo previsto en el inciso número 8 (ocho) del presente reglamento. April 8th-11th, 2016 08:00 to 18:00 hrs. 12. Será requisito indispensable que la empresa expositora se presente una hora antes de su horario de montaje en la Oficina de la Dirección Técnica dentro del recinto, a efecto de que recoja sus gafetes de montaje contra entrega de una relación con los nombres de los mismos. 11. Todas las muestras deberán llevar colocada al frente de la máquina una hoja tamaño carta indicando la marca y el modelo y, en su caso, que forma parte de un grupo de piezas de una misma máquina. 15. El representante de la empresa expositora deberá avalar que las muestras no vengan dañadas y que además estén colocadas como se indicó en la información técnica preliminar. Una vez que dicho representante firme de conformidad, la Dirección Técnica procederá a la descarga y ubicación de las muestras dentro del espacio de exhibición. 16. En caso de que vinieran dañadas las muestras, el expositor firmará la hoja de conformidad autorizando la descarga o carga sin responsabilidad para la AMDM, AC y/o la Dirección Técnica, considerando que, por estar averiadas, dichas muestras podrían ser susceptibles a daños mayores al momento de realizar las maniobras. 17. En caso de que vinieran mal colocadas las máquinas dentro del transporte, el expositor conviene en pagar dicha maniobra de arreglo como tiempo extra. 18. Una vez que las muestras hayan sido colocadas dentro del espacio de exhibición conforme al plano proporcionado por el expositor, dichas muestras no podrán ser reubicadas a menos que el expositor todavía cuente con tiempo programado. 19. En caso de que el expositor haya omitido la programación de equipo para las maniobras de desembalaje o reembalaje, este servicio se le cobrará como tiempo extra, estando conforme el expositor con que dicho servicio le sea proporcionado hasta que haya equipo disponible. 20. Si el expositor desea reubicar sus máquinas dentro de su espacio de exhibición fuera de su tiempo programado, dicho servicio se le cobrará como tiempo extra, estando conforme el expositor con que dicho servicio le sea proporcionado hasta que haya equipo disponible. 13 10. Exhibitors’ transporters must arrive at the venue one hour before their scheduled time slot and they must park wherever they are so instructed by the Technical Direction’s security personnel. 12. Exhibitors are required to go to the Technical Direction’s office located within the venue one hour before their scheduled mounting time slot, in order to pick up their mounting name cards upon delivery of a list of names of all personnel involved in mounting activities. 13. Once an exhibitor’s turn to unload comes up, the Technical Direction shall indicate the order in which transportation vehicles shall be parked. 14. All samples must bear a letter-sized sheet posted on the front, indicating the make and model of the machine, and if applicable, that it is one in a group of parts belonging to the same machine. 15. Exhibiting company representatives shall be required to check all samples for signs of damage, as well as for correct placing as per submitted preliminary technical data. Once the exhibiting company representatives have signed the form, the Technical Direction shall proceed to unload and place the samples within the exhibit space. 16. If the samples were indeed damaged during transit, exhibitors shall sign a letter of consent authorizing the unloading or loading of samples, thereby releasing AMDM and/or the Technical Direction of any responsibility whatsoever, should existing damages cause the samples to be susceptible to further damage when maneuvered. 17. If the machines are incorrectly positioned within the transportation vehicle, exhibitors agree that maneuvers to correct positioning shall be charged and paid for as overtime. 18. Once the samples have been placed within the exhibit space in accordance with the drawing provided by each exhibitor, samples may not be rearranged unless the exhibitor’s scheduled time slot is not over yet. 19. If exhibitors fail to schedule equipment for unpacking or repackaging maneuvers, such services shall be paid for as overtime. Exhibitors further agree that these services shall not be provided until the necessary equipment becomes available. 20. Should exhibitors wish to rearrange their machines within their exhibit space outside of their scheduled time slot, such services shall be charged and paid for as overtime. Exhibitors further agree that such services shall not be provided until the necessary equipment becomes available. PASILLOS CIRCULACIÓN CIRCULATION HALLWAYS Los pasillos circulación verticales (según plano) no se pueden ocupar o vender a expositores en EXPOMAQ. The vertical circulation hallways can not be occupied or sell to EXPOMAQ exhibitors. El transporte del expositor deberá presentarse en el recinto una hora antes de su horario programado y deberá estacionarse en el lugar que el personal de seguridad de la Dirección Técnica le indique. 22. Una vez terminada la descarga de las muestras, el transporte deberá retirarse del recinto. En caso de realizar maniobras de acomodamiento de accesorios o lonas, deberá hacerlo a un mínimo de tres calles sin afectar la circulación. 25. El horario para montaje de decoraciones será desde el ingreso programado a partir de las 8:00 hrs. y hasta las 18:00 hrs. de los días 10 y 11 de abril de 2016. 26. En los stands no se podrán colocar elementos decorativos o mamparas altas o pegadas a menos de un metro de separación de las colindancias bajas de sus expositores vecinos. Esta restricción solamente se podrá cancelar con el consentimiento por escrito del expositor vecino o en caso de que dichos elementos midan menos de un metro de altura. Los expositores que hayan adquirido dos o más espacios de exhibición podrán utilizar para su beneficio las mamparas y mobiliario que les correspondan por cada unidad contratada. Para tal efecto, si desean aprovechar las mamparas para hacer divisiones especiales o bodegas, deberán enviar a la Dirección Técnica el dibujo respectivo (a escala) a mas tardar el día 4 de enero de 2016. En caso de que sea necesario realizar maniobras de amarre o enlonado, estas se deberán hacer de modo que no se vea afectada la circulación. 43. En caso de que el expositor haya omitido la programación de equipo para las maniobras de desembalaje o reembalaje, este servicio se le cobrará como tiempo extra, estando conforme el expositor con que dicho servicio le sea proporcionado hasta que haya equipo disponible. Antes de iniciar el desmontaje, el expositor estará obligado a pagar a la Dirección Técnica cualquier daño a los materiales de la exposición, de conformidad con los siguientes costos de reposición. Queda entendido que, de no hacerlo, no se le permitirá retirar sus muestras. 79. Los daños que el expositor o su personal de apoyo o decoradores hagan a las instalaciones del recinto o a otros expositores, deberán ser subsanadas entre las partes involucradas, sin responsabilidad para el Comité Organizador. 80. El expositor que no haya retirado sus muestras o decoraciones a más tardar el día 18 de abril a las 18:00 hrs. quedará sujeto a las tarifas de bodega que le dicte el recinto. BODEGA DE EMBALAJES 81. Todos los embalajes del expositor que se vayan a reutilizar en el desmontaje del evento se almacenarán en una bodega. Por este motivo, el expositor estará obligado a marcarlos con su razón social. 82. La Dirección Técnica se encargará de transportar los embalajes a la bodega. 83. En días posteriores, el expositor al final de cada día deberá dejar la basura en los pasillos de circulación frente a su stand, para que el personal encargado pueda recogerla y depositarla en el contenedor de basura. El expositor podrá contratar un servicio de limpieza especial de su stand, exclusivo de Poliforum León. GENERALES Sabemos que usted aprecia nuestro esfuerzo por ofrecerle un servicio de calidad y de antemano agradecemos su colaboración al cumplimiento de este “Reglamento General de Operaciones”, cuyo fin es garantizar el éxito y la seguridad de su evento 1.1. Cualquier incumplimiento del Organizador a cualquiera de los puntos y disposiciones que forman parte integral de este reglamento, será causa de rescisión del contrato sin que el Organizador pueda reclamar indemnización alguna por daños y perjuicios, debiendo cubrir a Poliforum León los gastos que pudieran derivarse de las acciones civiles y legales tomadas para resolverlas. 1.2. Cada evento es diferente, por lo cual las políticas generales y los reglamentos no pueden cubrir todos los escenarios posibles, de esta forma Poliforum León se reserva el derecho y la facultad de establecer con el Organizador todo lo no previsto en el presente reglamento según convenga a los intereses del propio recinto y formará parte de anexos al reglamento.. 1.3. Otros servicios requeridos, no contratados directamente con Poliforum León, no representan, bajo ninguna circunstancia, responsabilidad por parte de Poliforum León. 1.4. Queda estrictamente prohibido dar obsequios y/o propinas al personal de Poliforum León o a cualquiera de sus proveedores. 1.5. Todo requerimiento de renta o venta de material o equipo que pertenezca a Poliforum León o a alguno de sus proveedores, debe realizarse a través del Centro de Servicios y/o al ejecutivo de atención correspondiente 1.6. Poliforum León se encuentra en un proceso constante de mejora continua, que lo conduzca a elevar la calidad de su trabajo, por este motivo se reserva el derecho de aplicar a todos los Organizadores, Expositores y Visitantes de los eventos, cuestionarios sobre el servicio que proporciona. 1.7. Poliforum León se reserva el derecho de tomar video y fotografía a los eventos para fines propios del recinto. 1.8. No se permite la publicidad hablada por medio de radios o altavoces y aquella que Poliforum León estime que pueda molestar a los Expositores o Visitantes. En caso de que sea necesario utilizar sonido, El expositor debe solicitar autorización por escrito a Comité y Poliforum León y estos determinaran la viabilidad de la solicitud y especificara los lineamientos. 1.9. Poliforum León se adhiere a la Ley General para el Control del Tabaco, orientando su operación a ser un RECINTO LIBRE DE HUMO. Por lo tanto, se prohíbe a cualquier persona consumir o tener encendido cualquier producto del tabaco en los espacios internos del recinto. 1.10. E l Comité Organizador está obligado a hacer respetar esta disposición, y asegurar que todos los participantes en su evento son conscientes de la misma; en caso contrario, Poliforum León se reserva el derecho de tomar las medidas que considere pertinentes, a fin de preservar los ambientes libres de humo de tabaco establecidos. 1.11. Si durante el evento y por incumplimiento a lo anterior, Poliforum León se hiciese acreedor a una sanción por parte de las autoridades sanitarias, el Comité Organizador se compromete a asumir como propias las consecuencias que de ello deriven. 1.12. El Organizador y el Expositor se responsabilizan de respetar y hacer respetar todas las normas de este reglamento por todas aquellas personas que directa o indirectamente entren a Poliforum León con motivo del montaje, desmontaje y celebración del evento. 28 MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 2. ESPACIOS Y USOS 2.1. No está permitido exhibir, obsequiar, colocar o vender ningún producto, material, publicidad o propaganda fuera del espacio rentado por el Organizador. Los vestíbulos, sanitarios, estacionamientos y restaurantes se consideran áreas comunes y no debe de ser colocado nada sin autorización de Poliforum León. 2.2. No está permitido colocar o pegar ningún material sobre pisos, paredes, columnas, postes, puertas, cristales, o en cualquier otra área; parte del mobiliario y equipo de Poliforum León, por lo que de no respetarse tal disposición, Poliforum León puede aplicar las medidas y/o sanciones que juzgue convenientes. 2.3. En ningún caso, el ancho de los pasillos dentro del área de exposición y vestíbulo será menor de 3 m. en la inteligencia de que una vez establecidos éstos y autorizados en el plano correspondiente, deberán mantenerse libres de obstáculos y/o instalaciones adicionales en toda su longitud. 2.4. Se prohíbe modificar la infraestructura del recinto para intereses propios del comité organizador y/o expositores sin autorización previa y por escrito de Poliforum león (barandales, señalización, hidrantes, accionadores de alarma cristales, pintura, realizar perforaciones, etc.) 2.5. La decoración de la exposición y/o el montaje de stands no debe obstruir los señalamientos, Salidas de emergencia, rampas o accesos para personas con capacidades diferentes ni pasillos de circulación con los que cuenta el recinto ferial. 2.6. La altura máxima de montaje y arreglo de stands es: SALA ALTURA MÁXIMA DE STANDS EDIFICIO A A1, A2 Y A3 REVISAR CON OPM EDIFICIO B B3, B1 Y B2 4.5 mts. 3 mts. EDIFICIO C C1, C2, C3 y C4 6 mts. 2.7. El Comité Organizador otorga autorización de montaje a los expositores, incluyendo aquellos cuyos stands excedan 3 m de altura, tanto en su construcción como en los elementos que lo compongan. Por lo tanto, en caso de daño ocasionado a terceros tanto en sus bienes o personas el Comité Organizador asume toda la responsabilidad. 2.8. Toda invasión de área por parte de los expositores y/o el propio Organizador, de espacios no autorizados en el plano definitivo, o que hayan quedado establecidos mediante acuerdos por escrito, Poliforum León se reserva el derecho de desalojar o hacer desalojar dichas áreas sin responsabilidad alguna de su parte y el Comité Organizador deberá cubrir los gastos que de esto se deriven. 2.9. En caso de requerir almacenamiento o bodegas, es responsabilidad del Organizador designar áreas para este fin, dentro de su espacio rentado. 2.10. “Por ningún motivo, personal ajeno a Poliforum León, podrá manipular instalaciones eléctricas, mobiliario y equipo, ni retirar mamparas utilizadas para delimitar espacios. Cualquier modificación o daño realizada por personal ajeno al recinto será acreedora a una multa de acuerdo al criterio de Poliforum León”. 3. ENERGÍA, INSTALACIÓN ELÉCTRICA E INFORMÁTICA 29 3.1. De acuerdo a nuestro programa de conservación de energía, se mantendrán los niveles mínimos de iluminación durante las maniobras de montaje y desmontaje en Poliforum León dentro del horario marcado en “Contrato”. 3.2. Por lo que se refiere al servicio de aire acondicionado, éste sólo se proporcionará durante el período de exposición y/o evento. 3.3. Por ningún motivo se permitirá el acceso a las instalaciones eléctricas o estructurales de Poliforum León a personal ajeno a éste. De presentarse esta situación, se procederá según inciso 2.10. 3.4. Queda prohibida la utilización de la infraestructura de red de datos propiedad de Poliforum León. El paso a los centros de datos de la empresa debe ser previamente autorizado por el departamento de Sistemas. 3.5. Poliforum León no se hace responsable del daño causado a equipo electrónico por fallo en el suministro de energía eléctrica del recinto. MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 3.6. Respecto al servicio de Internet ofrecido por Poliforum León, el contratante deberá tomar en cuenta lo siguiente • Poliforum León no se hace responsable por ataques de virus o hackers a su equipo. • La disponibilidad o estabilidad en la respuesta del servidor al que el cliente está haciendo referencia no es responsabilidad de Poliforum León, ya que el servicio se considera como proporcionado en el momento en que el usuario puede navegar en Internet. • La intervención de Poliforum León se limita a habilitar la conexión a Internet, no interviene en la instalación y/o configuración de software o equipo adicional. • Poliforum León se reserva el derecho de permitir el acceso a equipos inalámbricos que puedan interferir con la señal de Internet en el recinto • Todo reporte de falla debe hacerse en el Centro de Servicios o ejecutivo de SAC y cualquier falla no reportada en el mismo no procede para la cancelación del servicio. 3.7. El cableado del stand no podrá en ningún caso colgar de la estructura y/o columnas, debiendo ser conducido en forma oculta por canalizaciones adecuadas del propio sistema de mamparas y/o quedar debidamente protegido. 3.8. El organizador es responsable de proporcionar a Poliforum León la información técnica de los equipos en exposición, asimismo, deberá marcarse en el plano correspondiente la distribución total de la red eléctrica que se instalará, indicando claramente las características del equipo a utilizar y sujetándose a lo siguiente: • Los cables que se utilicen para la alimentación de contactos, deberán ser de uso rudo. • Los cables para la alimentación de lámparas podrán ser de uso rudo o dúplex, siempre y cuando sean del calibre requerido por la carga eléctrica. • Las uniones de cables deberán encontrarse aisladas con la cinta adecuada para este fin. 3.9. Poliforum León se reserva el derecho de desconectar o retirar aquellos aparatos, focos, lámparas, spots u otros de cualquier índole, de los stands que previamente no hayan hecho su solicitud de ampliación de la capacidad instalada; o bien que no cumplan con los requerimientos anteriormente mencionados. 3.10. Cuando el organizador o el expositor requiera que la instalación eléctrica esté aterrizada, deberá notificar a PL para revisar la viabilidad y en su caso la instalación. 4. USO DEL NOMBRE E IMAGEN DE POLIFORUM LEÓN 4.1. Poliforum León proporcionará al Organizador las características y especificaciones para uso del logotipo del recinto, relacionado en la promoción del evento, mismo que se anexa al presente documento (Anexo 1), obligándose el Organizador a su cabal cumplimiento, a fin de preservar las marcas, nombres y demás, propiedad de Poliforum León. 5. MONTAJE Y DESMONTAJE 30 5.1. Al plano aprobado antes de la realización del evento, el Organizador podrá solicitar modificaciones con una anticipación hasta de 24 hrs. máximo antes de dar inicio al montaje institucional. Quedando esta solicitud sujeta a aprobación por parte de Poliforum León y a la disponibilidad de recursos. 5.2. 5.2 Poliforum León tiene la obligación de ejecutar y conservar las especificaciones del plano previamente autorizado; Por lo que se reserva el derecho de cancelar cualquier alteración o cambio realizado en el montaje, sin que por ello derive alguna responsabilidad por los hechos, costos o consecuencias de tal medida. 5.3. 5.3 Poliforum León realiza un recorrido, cubriendo el área contratada con el Organizador, para hacer entrega física de las instalaciones, observando el estado en que se encuentran y verificar que éstas cumplan con los requerimientos solicitados. 5.4. 5.4 Al terminar la entrega de instalaciones, se autoriza la entrada al Organizador, quien a partir de entonces, tiene la responsabilidad de mantener en el área un representante para cualquier eventualidad relacionada al evento. 5.5. Por ningún motivo, se permitirá la entrada de ningún expositor y/o proveedor para iniciar sus maniobras de montaje, mientras no se realice la entrega formal de instalaciones y/o se encuentre ausente el Comité Organizador. MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 5.6. Al término del evento, el Organizador está obligado a entregar las instalaciones y el equipo que le fueron proporcionados tal y como los recibió, considerando pisos, paredes, alfombras, materiales, etc. 5.7. SOBRE CUALQUIER DAÑO CAUSADO AL RECINTO, EL ORGANIZADOR SE COMPROMETE A CUBRIR EL IMPORTE CORRESPONDIENTE A LA REPARACIÓN; DEL CUAL, POLIFORUM LEON DETERMINARÁ TANTO EL IMPACTO COMO EL IMPORTE. 5.8. Las paredes de Melamina colocadas por Poliforum León sólo son con finalidad de dividir los espacios. Por seguridad no está permitido colgar o soportar estructuras adicionales a ellas ya que no se garantiza la capacidad de soporte. Toda omisión puede ocasionar una multa y cubrir los gastos por los daños ocasionados. 5.9. Para montaje y desmontaje, SOLAMENTE se permitirá el ingreso en las fechas y horarios que señale el contrato correspondiente. Poliforum León asignará los andenes que podrán ser utilizados para maniobras. No se permitirá la entrada a ningún tipo de carga por otra puerta que no sea la designada para este fin. 5.10. Para el montaje realizado en Sala B2 y B3, únicamente podrá ser utilizado el elevador de carga o escaleras de servicio, por ningún motivo se habilitarán las escaleras eléctricas o el elevador de personas para subir materiales durante el montaje, evento y desmontaje. El elevador de carga, solamente puede ser operado por personal capacitado de Poliforum León. 5.11. Es responsabilidad del organizador que toda persona que ingrese al recinto durante montaje y desmontaje, porte visiblemente su gafete de identificación, brazalete, etc. y el equipo de seguridad que requiera. 5.12. El control de desembarque y la carga enviada será responsabilidad directa del Organizador, quien se encargará de coordinar la llegada de los transportistas, tanto para desembarcar en la entrada del evento, como el embarque en la salida del mismo. Poliforum León no es responsable, ni recibirá paquetes, equipos, mobiliario, cargas, envíos, etc. 5.13. B ajo ninguna circunstancia podrá permanecer ningún vehículo en el área de exposición, a menos que formen parte integral de la misma; en cuyo caso, deberá proteger el piso y contener en el tanque sólo el combustible de reserva; por ningún motivo hará funcionar el motor dentro de las instalaciones. 5.14. Los montacargas externos destinados a maniobras dentro de las instalaciones, deberán ser autorizados por Poliforum León, observando principalmente que usen llantas o ruedas blandas, que su motor se encuentre en buenas condiciones de funcionamiento y que no tire aceite o algún otro líquido; en caso de requerir abastecimiento de combustible, éste deberá surtirse en el patio de maniobras. NOTA: El Comité Organizador y/o el contratante del mismo, asume toda responsabilidad concerniente a la operación del Montacargas. 5.15. T oda maquinaria y/o equipo pesado deberá distribuirse en la mayor superficie posible dentro de los rangos de resistencia de la losa del área de exposición. Deberán estar apoyados sobre cojinetes (base) de hule o algún otro material similar que proteja el piso. La resistencia del piso en el área de exposiciones es de acuerdo a la siguiente tabla: 5.16. Los tiempos de montaje no están destinados a la construcción integral de los stands, y/o aquellos elementos de decoración en las instalaciones; por lo tanto, las adecuaciones en el montaje se limitarán a detalles de ajustes en el armado y construcción de dichos elementos. 5.17. Los stands instalados con material de tablaroca, deberán cubrir el pago correspondiente de un depósito de garantía en el Centro de Servicios para que se les permita la instalación. Una vez que finalice el evento, y se retire TODO el material, se hará la devolución de dicho depósito (ver Lista de precios vigente). 5.18. Sólo está permitida la fijación de alfombras al piso mediante cintas auto adheribles de doble cara. Esta prohibido aplicar o poner pegamentos o cualquier otro material directamente sobre el piso, muros, señalamientos, o cristales que formen parte del inmueble. El Comité Organizador es corresponsable del cumplimiento de esta cláusula. 5.19. La señalización y/o decoración institucional del Organizador deberá contar con la aprobación de Poliforum León y se limitará a las áreas designadas cuidando de no invadir áreas comunes, vestíbulos, áreas de circulación, equipo de seguridad, puertas de emergencia, ni bloquear la visibilidad de los señalamientos propios de Poliforum León. 31 MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 5.20. La colocación de cualquier señalización y/o publicidad aérea dentro de las instalaciones de Poliforum León solamente la podrá realizar personal del recinto. Las alturas y pesos que se deben respetar se muestran en la siguiente tabla. Cualquier variación a ésta deberá ser aprobada por el departamento de Operación de Poliforum. Al momento de solicitar la instalación de mantas y/o lonas al Centro de servicios, este indicará el procedimiento de recepción y entrega de materiales al expositor. No se permite clavar, atornillar, perforar ni pegar nada sobre el piso, muros, plafones, columnas u otras instalaciones que formen parte de Poliforum León. 5.22. Poliforum León sólo se responsabiliza de la publicidad instalada de acuerdo a lo siguiente:Publicidad instalada con grúa (máquina Genie) dentro del recinto • Publicidad instalada con grúa (máquina Genie) dentro del recinto • Escaleras eléctricas y cristales de fachada de parteluces (sólo se instalará si cumple con las especificaciones requeridas) 5.23. Poliforum León NO se responsabiliza de lo siguiente: • Lonas o publicidad instaladas por el Expositor (sobre melaminas). • Adornos, cicloramas, publicidad instalada por el comité Organizador. 5.24. Es obligación del Organizador desalojar en su totalidad el área una vez concluido el contrato. 5.25. Cualquier material, equipo u objeto dejado en el área causa un costo de almacenaje. Después de 3 días de finalizado el evento, Poliforum León no se hace responsable. 5.26. Transcurridos 3 días, los materiales, equipos y/o cualquier objeto dejado, olvidado y/o abandonado en Poliforum León, serán retirados del recinto, sin que esto genere responsabilidad alguna para Poliforum León por la disposición que se les de. 6. SERVICIOS COMPLEMENTARIOS 32 6.1. Poliforum León proporciona en exclusividad los servicios de energía eléctrica, red hidráulica y drenaje, líneas telefónicas, red de datos y aire comprimido. Su disponibilidad estará sujeta al sistema de prioridad en el orden con que se reciban las solicitudes por parte del Organizador y/o expositores. 6.2. Poliforum León tiene disponibilidad de proporcionar la seguridad del evento, adicional a la institucional, previa Solicitud de Cotización de SGV. 6.3. Todos estos servicios tendrán un cargo adicional de acuerdo a la lista de precios vigente. MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 7. SEGURIDAD INSTITUCIONAL 7.1. Es responsabilidad del Comité Organizador mencionar en los contratos con sus expositores que POLIFORUM LEÓN no es responsable por daños, robos o pérdidas en los materiales utilizados o adquiridos en ninguna de las exposiciones o eventos, por lo que no asume ninguna responsabilidad al respecto. 7.2. Poliforum León ofrece sólo la seguridad institucional en las áreas comunes y perimetrales como patios, vestíbulos, oficinas administrativas y/o patio de maniobras de Poliforum León. 7.3. El Organizador está obligado a dotar al área ocupada de los medios de protección necesarios (Póliza de Seguro), Poliforum León no se responsabiliza de los daños causados a terceros en sus personas o bienes. 7.4. Queda estrictamente prohibido introducir y portar toda clase de armas de fuego o punzo cortantes, salvo aquellas que corresponden al personal de seguridad, que se encuentre debidamente acreditado para ello. 7.5. Poliforum León cuenta con equipo contra incendio a base de extintores fijos, extintores móviles, toma siamesa e hidrantes, además se apoya en el servicio del H. Cuerpo de Bomberos y Proteccion Civil de la Ciudad de León, quienes supervisan y asesoran en las medidas a tomar para evitar algún siniestro. Los accesos a estos equipos, así como a las salidas de emergencia, no podrán ser obstruidos, en ningún caso, por materiales y/o equipo. 7.6. Por la propia seguridad y funcionalidad del evento, solamente se permite la utilización de lámparas y/o focos fluorescentes dentro del recinto. 7.7. Los eventos que dada su naturaleza incluyan como parte de su actividad CUALQUIER TIPO DE JUEGOS DE AZAR SIN FINES DE LUCRO, como tiro al blanco, juegos extremos, dardos, pelotas, aros y otros objetos o actividades similares que puedan alterar el orden y/o la seguridad del evento, deberán contar con una protección adecuada para evitar accidentes o daños a las personas, mobiliario y equipo, así como a las propias instalaciones. ÉSTAS ACTIVIDADES DEBERÁN SER APROBADAS PREVIAMENTE Y POR ESCRITO POR POLIFORUM LEÓN ANTES DE ABRIR LA EXPOSICIÓN AL PÚBLICO, y en su caso deberán estar única y exclusivamente en los espacios asignados para tal fin. En el caso de que este tipo de eventos se lleve a cabo sin autorización, Poliforum León tiene el derecho de cancelar el stand o el evento si es necesario, sin responsabilidad alguna para Poliforum León. 7.8. Queda estrictamente prohibido utilizar o exhibir sustancias peligrosas, tóxicas o inflamables, como PAJA, ASERRIN, etc. 7.9. Los globos plásticos que se requieran inflar con gas, deberán ser inflados con gas no inflamable y en las áreas de carga, solo así podrá ser permitido su acceso y estancia dentro de Poliforum León (Eje: Gas helio). 7.10. Solamente se permite la utilización de globos metálicos en las áreas de exposición si éstos se encuentran sujetos a una varilla plástica. 7.11. En caso de ser necesario, el Comité Organizador tiene la responsabilidad de cubrir el costo de grúa necesaria para retirar los globos de la estructura en el área correspondiente. 7.12. Queda estrictamente prohibido el uso de estufas, parrillas, etc., así como la generación de humos, vapores o similares. 7.13. Si la naturaleza del evento requiere el uso de tanques de gas comprimido (LP, helio, oxígeno, CO2, etc.) deberá cumplir con lo indicado en el Manual para uso de gas comprimido (Solicitar anexo DC-SGV01) 7.14. En ningún momento (el montaje, la exhibición o el desmontaje) se podrá introducir cualquier clase de animales o mascotas; a menos que por la naturaleza del evento se requiera. 8. LIMPIEZA 33 8.1. Poliforum León realiza la limpieza y remoción de basura de todas las áreas comunes (pasillos, vestíbulos, baños, etc.) del evento. Cada Expositor debe realizar el aseo de su stand, para lo cual puede contratar los servicios de Poliforum León o algún proveedor externo. El personal de intendencia INSTITUCIONAL no está autorizado para realizar el servicio de limpieza en el interior de los stands. 8.2. Es responsabilidad del Organizador concientizar a sus Expositores sobre la importancia de mantener limpio su stand, atenderlo en el horario de exposición, y que su decoración así como todos sus elementos sean de calidad. MANUAL DEL EXPOSITOR 2016 Sección: Reglamento General 9. ESTACIONAMIENTO 9.1. Poliforum León no se hace responsable por pérdidas de objetos dejados en el interior del vehículo, robos de partes y/o accesorios. De la misma manera Poliforum León no hace responsable de daños causados por otros automóviles ni daños causados a estos por colisión, incendio, fenómenos naturales, terremoto, huracanes o cualquier otra causa o hecho de naturaleza similar. 9.2. Solo se podrá dar salida del vehículo del estacionamiento a contra-entrega del boleto, en caso de extravió se le solicitara al cliente identificarse y comprobar la propiedad del automóvil. El boleto extraviado tiene un costo de acuerdo a Lista de Precios vigente Nota: El costo vigente por boleto extraviado y por dejar el vehículo después del cierre de estacionamiento se encuentra publicado a la vista del conductor. 9.3. El estacionamiento se cierra una hora después del término del evento. Después de dicha hora ningún vehículo podrá ser retirado del estacionamiento hasta las 8:00 hrs. del siguiente día y una vez realizado el pago correspondiente por concepto de pensión de acuerdo a Lista de Precios vigente. Poliforum León NO cuenta con servicio de pensión, el cobro de este concepto aplica solo en el caso citado anteriormente y se aplica la tarifa de acuerdo a la lista de precios. 9.4. El pago de estacionamiento le permite el uso de un espacio/ cajón de estacionamiento. El costo de estacionamiento puede incrementarse en proporción al número de espacios/ cajones de estacionamiento utilizados por el vehículo. 9.5. Las áreas destinadas a estacionamiento están limitadas sólo a vehículos, por lo que no está permitido utilizarlas como lugar de residencia, ni exhibición o venta de ningún producto. Cualquier vehículo que ingrese con publicidad evidente en el mismo, será retirado del estacionamiento y/o se le negará el acceso. Todo conductor acepta las condiciones antes mencionadas desde el momento que paga e introduce el vehículo dentro del estacionamiento. 9.6. Tarifas preferenciales Los ejecutivos correspondientes al evento (SAC, EVE) otorgan tarifa preferencial en base al convenio pactado y a clientes preferenciales. Ellos deberán proporcionar al comité organizador un sello para identificar a todos los participantes de dicho evento. 9.7. Cortesías El otorgamiento de las cortesías y pases de estacionamiento queda sujeto a convenio. Estas cortesías o pases del estacionamiento deberán ser entregados al Comité Organizador un día antes del comienzo de su evento. En caso contrario, los ejecutivos del evento deberán de solicitarle al Comité Organizador los boletos de estacionamiento tomados al ingresar para sellar y firmar para que el costo del estacionamiento no sea cobrado al cliente al salir. 9.8. Firmas autorizadas para el no cobro de estacionamiento. GENERAL PROVISIONS We understand you appreciate our efforts to provide you with a quality service, and would like to start by thanking you for your collaboration in ensuring compliance with this “General Rules of Operation”, the purpose of which is to guarantee the safety and success of your event. 1.1. Any breach by an Organizer of any of the points and provisions forming an integral part hereof shall be cause for the rescission of the contract, and such Organizer shall not be entitled to any compensation whatsoever for damages, being obliged to reimburse Poliforum León for any expenses incurred as a result of any civil or legal suit brought to resolve related disputes. 1.2. Every event is unique, hence general policies and rules cannot cover all eventualities, for which Poliforum León reserves the right and power to set forth, with Organizers, any other matter not dealt with herein for the benefit of the venue, such specifications to form part of the appendices hereto. 1.3. Under no circumstance shall any service other than those contracted directly from Poliforum León cause any liability on the part of Poliforum León. 1.4. The giving of gifts and/or tips to Poliforum León staff or any of its suppliers is strictly prohibited. 1.5. Any requirement pertaining to the sale or rental of material or equipment owned by Poliforum León or any of its suppliers must be dealt with through the venue’s Services Center and/or Service Desk, respectively. 1.6. Poliforum León is in an ongoing process of improvement aimed at raising the level of quality of its work, and therefore reserves the right to request that Organizers, Exhibitors and Visitors complete questionnaires regarding the service it provides. 1.7. Poliforum León reserves the right to take video and photographs of events for the personal purposes of the venue. 1.8. No publicity conveyed via radio or loudspeakers, or which Poliforum León considers potentially irritating to Exhibitors or Visitors, will be permitted. Where a sound system is required, Poliforum León will verify that the sound level produced does not exceed 70 decibels. 1.9. Poliforum León abides by Mexico’s Ley General para el Control del Tabaco (General Act for the Control of Tobacco), and makes every effort to maintain the site as a SMOKE-FREE ZONE. Therefore, patrons are forbidden to smoke or possess any lighted tobacco product anywhere inside the facilities. 1.10. The Organizing Committee is obliged to ensure compliance with this provision and that all those involved in their event are aware of its content; in the event of any failure in this regard, Poliforum León reserves the right to take such measures as it deems appropriate in order to preserve the established smoke-free areas. 1.11. In the event of Poliforum León being fined by health authorities as a result of any breach of the above-mentioned provision, the Organizing Committee concerned undertakes to assume all consequences thereof. 1.12. Organizers and Exhibitors shall take responsibility for respecting and ensuring compliance with all rules contained herein by all those who directly or indirectly enter Poliforum León for the purpose of setting up, dismantling or celebrating any event. 36 MANUAL DEL EXPOSITOR 2016 Sección: General RULES 2. AREAS AND USES 2.1. It is forbidden for Organizers to exhibit, give away, place or sell any product, material, advertising or publicity outside the area rented thereby. Hallways, restrooms, parking lots and restaurants are considered communal areas and no item may be placed in these without authorization from Poliforum León. 2.2. The placing or affixing of any material on floors, walls, columns, posts, doors, windows or any other area, furnishing or equipment belonging to Poliforum León is prohibited; in the event of any breach of this stipulation, Poliforum León may take such measures as it deems appropriate. 2.3. Under no circumstance may walkways inside the exhibition area and hallway be less than 3 m (9’ 10”) wide, in the understanding that once the location of these have been set forth and authorized in the corresponding floor plan, they are to be kept free of obstacles and/or additional installations along their entire length. 2.4. No modifications may be made to the infrastructure of the venue to suit the needs of any Organizing Committee and/or Exhibitor without the prior written authorization of Poliforum León (e.g. changes involving handrails, signposting, hydrants, windows, painting, drilling, etc.) 2.5. Decoration for fairs/exhibitions and/or the set-up of booths must not obstruct any sign, emergency exit, ramp or entrance for people with disabilities or any passageway at the fair site. 2.6. The maximum permissible height and layout of booths is as follows: EXHIBITION HALL MAXIMUM HEIGHT FOR BOOTHS BUILDING B B3, B2 and B1 4.5 m (13’ 1”) 3 m (9’ 10”) BUILDING C C1, C2, C3 and C4 6 m (16’ 5”) 2.7. The Organizing Committee grants Exhibitors authorization to set up their booths, including those the construction and individual components of which exceed a height of 3 m (9’ 10”). Consequently, the Organizing Committee assumes liability for all damage caused to the person or property of any third party. 2.8. Areas set aside for parking are for vehicle use only and must not be used to store, exhibit or sell any product. Any vehicle displaying obvious advertising materials entering the area will be removed from the parking lot and/or denied entry. 2.9. No area or parking lot at Poliforum León provides either overnight or long-stay parking facilities.“Por ningún motivo, personal ajeno a Poliforum León, podrá manipular instalaciones eléctricas, mobiliario y equipo, ni retirar mamparas utilizadas para delimitar espacios. Cualquier modificación o daño realizada por personal ajeno al recinto será acreedora a una multa de acuerdo al criterio de Poliforum León”. 2.10. I n the event of any encroachment by Exhibitors and/or Organizers upon any area not authorized in the final floor plan or set forth in a written agreement, Poliforum León reserves the right to clear such area or have it cleared, with no liability on its part. 2.11. hould storage or warehouse space be required, it is the responsibility of the Organizer concerned to define the areas to be used for such S purpose within the space rented thereby. 2.12. Under no circumstance may anyone other than Poliforum León staff make any change to electrical installations, furniture or equipment, or remove any screen used to demarcate spaces. Any modification made by anyone other than venue staff will result in such party being fined, and Poliforum León assumes no liability whatsoever for any damages resulting therefrom.” 3. POWER, ELECTRICAL INSTALLATION AND IT 37 3.1. Pursuant to our energy-saving scheme, lighting levels at Poliforum León will be kept to a minimum during set-up and dismantling activities within the times specified in the “Contract”. 3.2. With regard to air-conditioning, this will only be provided whilst the fair/exhibition and/or event is underway.Por ningún motivo se permitirá el acceso a las instalaciones eléctricas o estructurales de Poliforum León a personal ajeno a éste. De presentarse esta situación, se procederá según inciso 2.10. MANUAL DEL EXPOSITOR 2016 Sección: General RULES 3.3. Under no circumstance will access to any electrical or structural installation of Poliforum León be permitted to anyone other than those directly employed thereby. The booth of any Exhibitor found to be in violation of the above stipulation will be immediately closed. 3.4. Use of Poliforum León’s computer network infrastructure is prohibited. Access to the company’s computer centers requires the prior authorization of its IT Department. 3.5. Poliforum León is not liable for any damage caused to electronic equipment as a result of power outages at the venue and attributable to the CFE, the national electrical power company. 3.6. In regard to the Internet service provided by Poliforum León, contracting parties must bear the following in mind: • Poliforum León is not responsible for attacks by virus or hackers on your equipment. • Poliforum León is not responsible for the availability or stability of the server response experienced by customers, given that the service is deemed to have been provided once the user is able to surf the Web. • Poliforum León’s role is merely to facilitate Internet connections and the venue does not participate in the installation and/or setup of any software or additional equipment. • Poliforum León reserves the right to allow access to wireless equipment that may interfere with the site’s Internet signal. • All problem reports must be submitted to the Services Center or SAC executive and any fault not reported in this manner will not prompt the cancellation of the service. 3.7. Under no circumstance may booth wiring be permitted to hang from any structure and/or column; all cables are to be kept out of sight and channeled via the appropriate conduits that form part of the screens and/or must be adequately protected. 3.8. Organizers are responsible for providing Poliforum León with technical data on all equipment used at fairs and exhibitions; furthermore, such equipment must be marked on the corresponding plan showing the entire layout of the electrical network to be installed, clearly indicating the characteristics of the equipment to be used and subject to the following: • All cables used to supply power to sockets must be heavy-duty. • Cables supplying power to lighting may be either heavy-duty or duplex, provided these are the right gauge for the electrical load. • Cable connections must be isolated using suitable isolating tape. 3.9. Poliforum León reserves the right to disconnect or remove devices, bulbs, lamps, spotlights or other lighting equipment from any booth that has omitted to request an increase in the installed capacity or which fails to comply with the aforementioned requirements. 3.10. In the event that an Organizer or Exhibitor requires that an electrical installation be earthed, it must notify the Technical Services Department in order for the necessary changes to be made.. 4. USE OF THE POLIFORUM LEÓN NAME AND IMAGEN 4.1. Poliforum León shall provide Organizers with characteristics and specifications for the use of the site logo with regard to its use in the promotion of events, as attached hereto, (Appendix 1). Organizers undertake to comply fully therewith so as to preserve any brands, names and so on, owned by Poliforum León. 5. SET-UP AND DISMANTLINGE 38 5.1. Following authorization of a floor plan prior to an event, Organizers may request modifications thereto no later than 24 hours before the venue commences set-up activities. Such request is subject to the granting of authorization by Poliforum León and to the availability of resources. 5.2. Poliforum León has an obligation to act upon and keep to the specifications of previously authorized floor plans, and therefore reserves the right to cancel any change or alteration made during the set-up process, and shall not be held liable for any incident, expense or consequence that may arise as a result. 5.3. Poliforum León carries out an inspection visit to rented areas with the Organizers concerned in order to make formal delivery of the facilities, noting the current state of the same and verifying that such facilities comply with the stated requirements. 5.4. Upon delivery of the facilities, access is granted to Organizers, who, from such time on, are responsible for ensuring that a representative is present there at all times to deal with any matter concerning the event.. MANUAL DEL EXPOSITOR 2016 Sección: General RULES 5.5. Under no circumstance will access be granted to any Exhibitor and/or supplier in order to commence set-up activities until formal delivery of the rented area has been made. 5.6. Upon conclusion of an event, Organizers are obliged to handover all facilities and equipment provided to them in the same state in which they were received, including floors, walls, carpets, materials, etc. 5.7. ORGANIZERS UNDERTAKE TO COVER THE REPAIR COSTS OF ALL DAMAGE CAUSED TO VENUE FACILITIES, THE ASSESSMENT AND AMOUNT OF WHICH TO BE DETERMINED BY POLIFORUM LEÓN. SIMILARLY, POLIFORUM LEON RESERVES THE RIGHT TO FINE AN EVENT ORGANIZER FOR DAMAGE CAUSED. 5.8. T he partitions placed by Poliforum León are for the sole purpose of demarcating areas; for safety reasons, no additional structure other than these may be hung or supported, due to there being no guarantee as to their bearing capacity. 5.9. For set-up and dismantling activities, access will ONLY be granted on the dates and at the times specified in the relevant contract. Poliforum León shall assign the bays that are to be used for loading activities. No access will be granted to any load through any entrance other than that designated for such purpose. 5.10. Only the freight elevator or service stairs may be used when setting up events in Exhibition Halls 2 and 3; under no circumstance are escalators or passenger elevators to be used to transport materials during set-up or dismantling activities or events themselves. The freight elevator may only be operated by trained Poliforum León staff. 5.11. Organizers are responsible for ensuring that all those involved in set-up and dismantling activities who enter the site wear their ID tag in a visible place and have the necessary safety equipment.Para el montaje realizado en Sala B2 y B3, únicamente podrá ser utilizado el elevador de carga o escaleras de servicio, por ningún motivo se habilitarán las escaleras eléctricas o el elevador de personas para subir materiales durante el montaje, evento y desmontaje. El elevador de carga, solamente puede ser operado por personal capacitado de Poliforum León. 5.12. Poliforum León accepts no responsibility for objects lost either from inside or outside vehicles parked in the loading yard and/or parking lots, or for any damage caused as a result of collisions, fire, natural phenomena, earthquakes, hurricanes or any other similar cause or event. 5.13. O rganizers are directly responsible for the unloading and shipment of freight, such parties being in direct control of coordinating the arrival of carriers, be it unloading at the entrance to the event or shipping at the corresponding exit. Poliforum León is not responsible for the reception of packages, equipment, furniture, freight or shipments. 5.14. Under no circumstance may any vehicle remain in the exhibition area unless forming an integral part of the event being held there, in which case, floors must be protected and the vehicle’s tank contain the fuel reserve only. Under no circumstance must the engine be started whilst the vehicle is inside the facilities. 5.15. Forklift service is subject to the possibility of access to the area in which it is required. Forklifts owned by Poliforum León are only to be used to transport maximum loads of 1,500 kg (3,307 lb) from one place to another and for no other maneuver. Forklifts may only be operated by trained Poliforum León staff. 5.16. The use of external forklifts inside the facilities must be authorized by Poliforum León; particular attention is paid to ensuring that such vehicles have soft wheels or tires, that their engine is in good working condition and that they are not leaking oil or any other liquid; the loading yard is to be used when filling any fuel tank. 5.17. All heavy machinery and/or equipment must be distributed over as wide a surface area as possible within the ranges of bearing capacity of the floor in the exhibition area. These must be rested upon pads (bases) made of rubber or some other similar material to protect the floor. The following table shows the bearing capacity of the exhibition area floor: 5.18. 39 EXHIBITION HALL MAXIMUM WEIGHT BUILDING B B1, B2 and B3 5 ton/m2 (0.46 ton/sq. feet) 350 kg/m2 (71.7 lb/sq. ft) BUILDING C C1, C2, C3 and C4 5 ton/m2 (0.46 ton/sq. feet) I nside Poliforum León facilities, it is forbidden to carry out any welding or metalwork activities, use saws, spray guns, etc., or use any product harmful to the environment. Times for set-up activities do not include the overall construction of booths and/or decorative elements at the facilities; therefore, the preparation of booths shall be limited to minor adjustments to their assembly and construction. MANUAL DEL EXPOSITOR 2016 Sección: General RULES 5.19. Booths installed using gypsum panels are subject to the payment of a security deposit to the Services Center in order for permission to be granted for their installation. This deposit will be returned upon completion of the event and once ALL materials have been removed. 5.20. Carpeting must only be affixed to the floor using double-sided adhesive tape. No glue or other material may be applied directly to the floors, walls, signs or windows of the building. 5.21. Site signposting and/or decoration installed by Organizers must be approved by Poliforum León and be limited to designated areas, care being taken to avoid intruding upon communal area, hallways, passageways, safety equipment, emergency doors, or blocking signs belonging to Poliforum León. 5.22. Only Poliforum León staff may place overhead signs and/or publicity inside its facilities. The following table shows the height and weight specifications to be followed. Any discrepancy must be approved by the Poliforum Operations Department. When permission is requested from the Services Center to place vinyl signs and/or banners, indications will be provided as to the procedure for the receipt by and delivery of materials to the Exhibitor. Organizers are obliged to fully vacate the area upon termination of the contract. 5.28. All materials, equipment and objects left in the area are subject to a storage fee. Poliforum León accepts no responsibility for such items once 72 hours have passed since the conclusion of the event. 5.29. After these 72 hours have passed, any materials, equipment and/or object left behind, forgotten and/or abandoned at Poliforum León will be removed from the site, Poliforum León being free from any liability as regards the manner in which such items are disposed of. MANUAL DEL EXPOSITOR 2016 Sección: General RULES 6. AUXILIARY SERVICES 6.1. P oliforum León is the exclusive supplier of electrical power, water supply and drainage, telephone lines, IT network and compressed-air services. The provision of such utilities is on a first-come, first served basis according to the order in which requests for the same are received from Organizers and/or Exhibitors. 6.2. Poliforum León can provide security for events in addition to that habitually in place at the site. 6.3. All of the above-mentioned services are subject to an additional fee, as specified in the current price list.. 7. SITE SECURITY 7.1. It is the responsibility of the Organizing Committee to state in contracts entered into with Exhibitors that POLIFORUM LEON is not responsible for any damage, theft or loss of materials used or acquired at any exhibition or event, and therefore accepts no liability therefor. 7.2. Poliforum León provides site security in communal and perimeter areas such as Poliforum León parking lots, patios, hallways, administrative offices and/or loading yards. 7.3. Organizers are obliged to provide sufficient security for the areas they occupy; Poliforum León shall not be held liable for damage caused to the person or property of third parties. 7.4. It is prohibited to bring any type of knife or firearm onto the premises, except those required by security staff trained in the use of such weapons. 7.5. Poliforum León has fire equipment in place consisting of fixed and portable extinguishers, Siamese connection and hydrants, as well as the support provided by the León Fire Department, which supervises and provides advice as to the measures to be taken in the event of an incident. Under no circumstance must this equipment or any emergency exit be obstructed by materials and/or equipment. 7.6. In the event that the city’s Fire Department, Civil Defense Department or Poliforum León determines that a hazard exists within the facilities or at an event, it shall inform the Organizer concerned in order for action to be taken to remove the risk. No such fair/exhibition will be permitted to commence and/or continue until such time as the identified hazard has been eliminated. 7.7. For the safety and functionality of events, only fluorescent lights and/or bulbs may be used inside the venue. 7.8. Events which by their nature involve ANY NOT-FOR-PROFIT GAME OF CHANCE, such as target practice, extreme sports, darts, the throwing of balls, hoops and other items or similar activities that could potentially disrupt the orderliness and/or the safety of the event must include sufficient safety measures in order to avoid damage or accidents to people, furniture or equipment, or to the facilities themselves. THESE ACTIVITIES REQUIRE THE PRIOR WRITTEN APPROVAL OF POLIFORUM LEÓN BEFORE THE EXHIBITION OR FAIR CONCERNED CAN BE OPENED TO THE PUBLIC and, where applicable, should be restricted exclusively to areas designated for such purposes. In the event of such an event taking place without authorization, Poliforum León is entitled to cancel the booth or event if necessary, Poliforum León remaining free from any liability therefor. 7.9. The use or display of any hazardous, toxic or inflammable machinery, equipment or substance, such as STRAW, WOOD SHAVINGS, etc., is strictly prohibited 7.10. Plastic balloons requiring gas must be inflated using non-flammable gas, this to be done in loading areas; only when this rule is respected will patrons be permitted to enter with or possess balloons inside Poliforum León. 7.11. The use of metallic balloons shall only be permitted inside exhibition areas when these are affixed to a plastic stick. 7.12. When necessary, the Organizing Committee concerned will be liable for the cost incurred as the result of a crane being needed to remove balloons from the structure of the area rented. 7.13. The use of ovens, grills or similar devices is strictly prohibited, as is the generation of smoke, vapor or the like. 7.14. Where an event calls for the use of tanks of compressed gas (LP, helium, oxygen, CO2, etc.), these are to be used in accordance with the specifications of the Manual for the Use of Compressed Gas (Please ask for Appendix DC-SGV01) 7.15. At no time (be it during set-up or dismantling activities or the event itself) may any pet or animal be brought into the venue unless specifically required due to the nature of the event. 41 MANUAL DEL EXPOSITOR 2016 Sección: General RULES 8. CLEANING 8.1. Poliforum León carries out the cleaning of and removal of waste from communal areas at events (passageways, hallways, restrooms, etc.). All Exhibitors are required to clean their own booths, for which purpose they may use the services of an outside supplier. Janitorial staff are not authorized to clean booths. 8.2. Organizers are responsible for educating Exhibitors as to the importance of keeping their booth clean, ensuring it is staffed during fair/exhibition opening times and that its presentation and components are of a sufficiently high quality.
