exhibitor guidelines & terms
1. MHA'sofficialtradeshowcontractor,BH&L
Decorating,willprovidealldrayageservices
requiredbyexhibitors.Allfreightarrangements
andrequestsforadditionalboothmaterialswillbe
handleddirectlybythecontractor.Chargesfor
additionalmaterialsaretheresponsibilityofyour
company.Exhibitorservicekitswillbesenttoall
confirmedexhibitors.
2. Set-Up.Sunday,April15th,2012,9am-5pm
Allboothsmustbereadyforfinalinspectionbyshow
managementat10amMonday,April16th.Eachbooth
musthaveacompanyrepresentativeintheboothat
thetimeoffinalinspection.
3.
Tear Down beginsonTuesday,April17thafter
3:00pm.Nocompanymaydismantletheirbooth
priorto3:00pm.
4.
Services suchasfoodpreparation,glassware/
servingware,water,orice,etc.,willbeprovidedby
thehotelandchargeddirectlytotheexhibitor.
Aformwillbeprovidedaspartoftheexhibitor
servicekit.
5.
Outside Demonstrations. Displayor
demonstrationitemsoutsidetheexhibitareaor
schedulingofprivatefunctions,cocktailparties,
specialevents,etc.duringtheperiodofthemove-in,
showdaysormove-out,willbeallowedonlywiththe
expresswrittenpermissionofMHA.Modelshired
foryourboothspacemaynotwalktheaislesofthe
showrepresentingorpromotingacompanyproduct.
Nocanvassing,advertising,displayordemonstration
itemswillbepermittedoutsidethecompany’sown
exhibitarea.Nomaterialsorsignsshallbepasted,
nailedortackedtodrapesorwallsoftheexhibithall.
6.
MHA reservestherighttorefuseexhibitprivileges
toanycompany.
7.
All booths must be prepaid in full.
An“ExhibitorServiceKit”forboothset-up/tear
downservicesandtheorderingofadditionalbooth
materialswillbeforwardedtothecompany’s
designatedrepresentativeapproximately45days
priortotheconvention.
8.
A Cancellation Fee willbeassessedonall
cancellationsasfollows:90days–75%refund;60
days–50%refund;30days–norefund.
Allcancellationsmustbeinwriting.
9. Booth Assignments, Arrangements
or Exhibits. MHAreservestherighttoassign,
designateorchangeboothlocation.MHAalso
reservestherighttoreleaseanyconfirmedbooth
spacethatremainsunpaid30daysaftertheinvoice
duedate.
10. The Participation Feeisbaseduponoccupancy
bytheexhibitor.Ifacompanywishestoshare
exhibitspaceitmustobtainpermissionfromMHA.
Therewillbeanadditionalchargeof$200for
eachadditionalexhibitorsharingthesamespace
(maximumoftwocompaniesperbooth).Thisextra
feeprovidesfortheinsertionoftheexhibitor’sname
intheofficialconferenceprogramandaseparate
exhibitsign.Checksfortheexhibitfeeshouldbe
payabletoMHA/Exhibits.
11. Exhibitor’s Responsibility. Arepresentative
mustbepresentinboothatalltimesduringthe
regularhoursofthetradeshow.Anexhibitor
oftheshow,hisagentsoremployeesmaynot
enteranotherexhibitor’sboothspacewithout
permission.Exhibitorsshallabidebyandobserve
alllaws,rulesandregulationsoffederal,state,and
citygovernmentsaswellastheconventionfacility.
Alldecorations,electricalwiringandfixturesmust
conformtoregulations.
12. Uncontrollable Eventualities.Reasonable
precautionagainstdamagesorlossbyfire,water,theft
andotheremergencieswillbetaken,butMHAdoesnot
guaranteeorinsuretheexhibitoragainstlossbyreason
thereof.Incasethepremisestobeusedbyexhibitor
shallbedestroyedbyfire,orbytheelements,orbyany
othercause,orincaseanyothercircumstancesmake
itimpossibleforMHAtopermitthesaidpremisesto
beoccupiedbysaidexhibitorforusehereinspecified,
thenandthereupon,thisagreementshallterminateand
thesaidexhibitorshallwaiveanyclaimfordamagesand
compensation.ItisagreedthatMHAreservestheright
toretainsuchpartofthepaymentsmadebyexhibitors
forboothspaceaswouldbenecessarytocoverall
expensesincurredbyMHAincidentaltotheopeningof
theshowuptothetimeofanycancellation.
